Key takeaways
- Pick the booking setup first (enquiry, request-to-book, booking engine, or engine plus channel manager); the website design follows from it.
- Google's free booking links need a booking page on your own site, and Google ranks them using signals such as landing page experience and price accuracy.
- Hotel structured data should use the schema.org Hotel type and match what the page shows, including room offers if you mark up prices.
- Collect only the guest data you need, with a clear consent notice, because the DPDP Rules, 2025 are being phased in.

What does a hotel booking website developer in Gurgaon actually build?
A hotel booking website developer in Gurgaon builds three layers: the public website, the booking flow, and the connections to your booking engine, payments, Google and messaging. The design matters, but a hotel site that cannot show availability or take a confirmed booking will keep losing guests to OTAs.
Gurgaon adds its own demands. Indira Gandhi International Airport sits just outside the city limits near NH-48, so guests book late at night from a phone after a delayed flight. Company admins in Cyber City and Udyog Vihar, on Golf Course Road or in IMT Manesar book several rooms at once and need invoices in the company's name. A booking flow that works for one leisure guest may not work for either.
- Website: room pages, location, policies, corporate and event pages, fast on mobile.
- Booking flow: dates, room choice, guest details, payment or confirmation.
- Integrations: booking engine, channel manager, payment gateway, Google, WhatsApp, email.
Which booking setup fits your property?
Choose the booking setup based on room count, how many OTAs you sell on and how much manual work your front desk can handle. There is no single right answer; a ten-room guest house and a business hotel with banquet halls need different tools.
| Setup | How it works | Suits | Watch out for |
|---|---|---|---|
| Enquiry form + WhatsApp | Guest sends dates; staff confirm by phone or WhatsApp | Small guest houses, wedding and group enquiries | Slow replies lose bookings; no live availability |
| Request-to-book + payment link | Guest requests a room; staff check and send a payment link | Small hotels selling on one or two channels | Double bookings if the OTA calendar is not updated |
| Third-party booking engine | An engine shows live rates and takes payment; the site links to or embeds it | Most independent hotels | Check mobile speed, branding and who owns the guest data |
| Booking engine + channel manager | Rates and inventory sync across the website and OTAs | Hotels selling on several OTAs | Monthly fees and setup effort; staff training |
| Custom booking system | Built to your rules and connected to your other systems | Groups or properties with unusual pricing or packages | Longer build, ongoing maintenance, needs good testing |
Banquet halls, lawns and wedding room blocks rarely fit a room booking engine, because each function has its own date, menu, guest count and set-up. Keep these as a structured enquiry: event date, function type, expected guests, rooms needed and a phone number, sent to the sales team by email and WhatsApp. A good developer builds both paths on the same site, so a wedding planner and a solo business traveller each find the right button within a few seconds.
Ask any booking engine or channel manager provider three questions before signing: does it support Google free booking links, can it run on your own domain or subdomain, and can you export your booking and guest data if you leave.
How do Google free booking links connect to your website?
Free booking links let your own booking page appear when travellers look at your hotel on Google, and Google says there is no cost for clicks on them. The developer's job is to make sure the booking page qualifies and gives a good experience.
- Booking page rules: Google's help page on the booking page URL says it must take travellers to your website to book directly with you, not to a social media page or an OTA.
- How hotels join: according to Google's page about free booking links, hotel owners may already be connected through their reservation system provider, and existing Hotel Center partners are eligible. Google also publishes a help guide on adding room rates and availability through Google Business Profile.
- Ranking: Google says bids do not affect free booking link ranking, which uses signals such as consumer preference, landing page experience and price accuracy.
Price accuracy is where websites often fail. If Google shows one rate and your booking page shows a higher one after taxes or fees, the guest leaves and the listing suffers. Make sure the engine's rate and the final payable amount match what Google receives.
How should Hotel structured data be added?
Add JSON-LD using the schema.org Hotel type on your main pages, and keep every value identical to what the visible page says. Structured data helps search engines read your hotel's details; it does not replace good content.
On schema.org, Hotel is a type of LodgingBusiness, which is itself a LocalBusiness. Google's local business structured data guide lists name and address as required and asks you to use the most specific sub-type possible. Useful properties include:
name, address, geo, telephone, urlandimage;checkinTimeandcheckoutTime;amenityFeaturefor Wi-Fi, parking, restaurant, banquet hall and similar;numberOfRooms, petsAllowedandavailableLanguage(for example English and Hindi).
If you mark up room prices, follow Google's guidance on hotel price structured data: use a Hotel with a makesOffer property, or a Hotel whose containsPlace is a HotelRoom with offers, and present the total price for the stay. Prices in markup must match what guests actually see.
How should online payments and deposits work?
Let guests pay in full, pay a deposit or pay at the hotel, and state the cancellation and refund rules before they pay. Clear rules prevent most payment disputes.
- Decide your payment rules per rate type: prepaid non-refundable, part deposit, or pay at hotel.
- Connect a payment gateway. DVM Techno can add UPI and card payments through Razorpay, as we do on our online store projects; most booking engines also have their own payment options.
- Show the full payable amount, including taxes, on the summary screen before payment.
- Send an instant confirmation by email and WhatsApp with the booking ID, dates, room type, address and map link.
- Collect company name and GSTIN in an optional field for corporate guests who need invoices.
- Reconcile payments daily against bookings so refunds and no-shows are handled quickly.
What guest data should a Gurgaon hotel booking form collect?
Collect only what you need to confirm the booking: name, phone, email, dates, guests and any special request. Leave identity checks for check-in, where your front desk already follows its own procedures.
The Government notified the Digital Personal Data Protection Rules, 2025 on 14 November 2025, with an 18-month phased compliance timeline. The Rules require clear, standalone consent notices and prompt notice to affected people after a data breach. A booking form should show a short notice explaining why each field is collected and how long it is kept. This is general information, not legal advice.
- Do not ask guests to upload ID documents through an open web form unless the system is built and secured for it.
- Keep marketing consent as a separate, unticked checkbox.
- Restrict who can view booking data in the admin panel, and log exports.
- For foreign guests, the Bureau of Immigration says hotels and other accommodators must fill Form C; that is a front-desk process, not a website form.
How do you make the booking flow fast for Gurgaon's travellers?
Keep the path from room page to confirmation short, mobile-first and readable on a weak connection. A guest standing at the airport or in a cab on NH-48 will not fill a long form.
- Three steps at most: dates and room, guest details, payment or confirmation.
- Sticky "Book now" and WhatsApp buttons on mobile room pages.
- Remember dates as the guest moves between room pages.
- A separate corporate enquiry form for multiple rooms or long stays, routed to the sales team.
- Tap-to-call for late arrivals, and the front desk number in every confirmation.
- Test the flow on an entry-level Android phone, not only on a fast laptop.

Frequently Asked Questions
Does DVM Techno provide its own hotel booking engine?
No. We build and develop the hotel website, connect it to the booking engine or channel manager you choose, and can add online payments through Razorpay where bookings are paid on your own site. Keeping the engine separate lets you pick a provider that fits your room count and OTA mix, and you can change the website later without losing booking history.
What is the difference between a booking engine and a channel manager?
A booking engine takes reservations on your own website: it shows live rates, room types and availability and usually takes payment. A channel manager keeps rates and inventory in sync across your website and OTAs, so a room sold on one channel is closed everywhere else. Small hotels often start with an engine and add a channel manager later.
How does a hotel website get Google free booking links?
Google says free booking links have no cost for clicks and the booking page must be on your own website, not an OTA or social media page. Many hotels take part through their reservation system or booking engine provider, which sends rates to Google. Ask your provider whether it is connected to Google, then check that the rates Google shows match your booking page.
Is Hotel schema markup required for ranking?
No. Structured data helps search engines understand your hotel's name, address, check-in times, amenities and offers, but it does not guarantee higher rankings. Google asks that markup match visible content. Use the schema.org Hotel type, keep values identical to the page, and if you mark up prices follow Google's hotel price guidance and show the total price for the stay.
What guest information should a hotel booking form ask for?
Ask for name, phone, email, dates, number of guests, room type and any special request, plus an optional company name and GSTIN for corporate invoices. Show a short consent notice explaining why each field is needed, keep marketing consent separate, and handle identity documents at check-in rather than through an open web form. This is general guidance, not legal advice.
