Building a CA Firm Website in Gurgaon: Portals, Pull Mode and Security

The hard part of a CA website is not the design. It is building pull mode, a secure client portal and safe forms so the site follows ICAI's rules and protects client data.

Key takeaways

  • ICAI's Code of Ethics, 2026 lets a firm run chat, online advice on request and a client document portal with distinct logins, provided client matters stay secret.
  • "Pull" mode for audit and attestation services is a build decision: no pop-ups, push notifications, auto-emails or broadcasts about those services.
  • The domain name should be as near as possible to the firm or member name, not a keyword domain.
  • Structured data should describe facts such as name, address and hours; leave out review and rating markup.

What should a CA firm expect from a website developer in Gurgaon?

A CA firm website developer in Gurgaon should build two things well: a site whose features respect ICAI's advertising and solicitation rules, and a secure back end for client documents and enquiries. Visual design is the easier half.

The rules sit in Clauses (6) and (7) of Part I of the First Schedule to the Chartered Accountants Act, 1949 and in the website guidelines in Chapter 3 of the ICAI Code of Ethics, 2026 (Volume I), which applies from 1 April 2026. Para 3.3.14 is the one developers should read twice: if any "content or technical feature" of the website goes against the Code, ICAI may act under its disciplinary mechanism. Features, not just words, are in scope.

Gurgaon firms often serve two very different client groups. Corporate offices sit in Cyber City and along Golf Course Road, the corridor the Rapid Metro runs through from Sikanderpur to Sectors 55 and 56. Manufacturing units cluster in IMT Manesar, the industrial model township developed by HSIIDC, where ICAI's own Gurugram branch is also located. A finance team in a tower expects a secure portal; a factory owner expects a page that loads quickly on a phone. Build for both.

This is our technical reading of ICAI's published guidelines, not legal or professional advice. Ask ICAI's Ethical Standards Board when a feature is borderline.

How do you build ICAI's "pull" mode into the code?

Make sure information about exclusive services appears only when a visitor asks for it, and never leaves the site on its own. Para 3.3.3 allows websites to run on pull and push technology, but services exclusively reserved for chartered accountants, which the Code illustrates with audit and attestation such as audit under the Companies Act, 2013 and the Income Tax Act, 1961, are pull only. Para 3.3.4 adds that this information must not be circulated by email or any other technique except on a specific pull request.

FeaturePush or pull?Build choice
Audit and attestation page reached from the Services menuPullFine. Visitor chooses to open it.
Home-page slider or banner promoting audit servicesPushLeave out. Keep the home page factual.
Exit-intent or timed pop-upPushLeave out entirely; also avoids para 3.3.16 on banners.
Browser push notificationsPushDo not install a push-notification service.

Auto-emails or WhatsApp broadcasts about audit servicesPushLeave out of any mailing workflow.

Also disable retargeting pixels that follow visitors around the web with ads. Para 3.3.5 bars any advertisement that solicits people to visit the website, and an ad that chases people back to your site is hard to square with that.

Can a Gurgaon CA firm website have a client document portal?

Yes. Para 3.3.11 lets firms provide a document management facility with a distinct login and password for each client, and para 3.3.15 requires adequate secrecy of client matters handled through the website. That makes security a professional duty, not an extra.

  • Separate accounts per client with their own folders; staff see only the clients assigned to them.
  • Two-step login (password plus a one-time code) for clients and staff.
  • HTTPS everywhere, encrypted storage for uploaded files and encrypted backups kept in a second location.
  • Activity log of who uploaded, viewed or downloaded each document and when.
  • Expiry for shared links and automatic logout after inactivity.
  • Retention rules: decide how long documents stay on the portal and delete them on schedule.
  • No client data in page URLs, analytics or email subject lines.

Client documents such as PAN, bank statements and salary slips are personal data. The DPDP Rules, 2025 under the Digital Personal Data Protection Act, 2023 were notified in November 2025, with core duties such as notice, consent and security safeguards phased in. Build to those standards now rather than retrofitting later.

How should chat, online advice and enquiry forms work?

Every contact feature should start with the visitor. Para 3.3.13 allows online advice to clients who specifically request it, free or paid, so build request-based flows rather than prompts.

  1. Enquiry form: name, phone, email, a subject dropdown and a message box. Ask nothing you do not need, and link a short privacy notice explaining why you collect each field.
  2. Routing: send enquiries to a shared inbox or a CRM so no request is lost when a partner is in an audit. A simple CRM can assign each enquiry to a staff member and track replies.
  3. Acknowledgement: an automatic reply that confirms receipt is fine; do not attach brochures or service lists to it.
  4. Click-to-call and click-to-WhatsApp: useful on mobile, as long as the visitor starts the conversation. No broadcast lists.
  5. Advice requests: if you offer paid online advice, take the request through the portal so documents and replies stay in one secure place.

Which domain name and email setup should a CA firm choose?

Choose a domain as near as possible to the firm or member name. Para 3.3.20 says the website address should be close to the individual, trade or firm name and must not amount to soliciting or advertising professional attainments. ICAI's Ethical Standards Board decides in case of difficulty.

  • Firm name, or a clear short form of it, with a .in, .co.in or .com ending.
  • No keyword domains built around services or a town, such as a domain that reads like a GST advert for Gurgaon.
  • Professional email on the same domain for every partner and staff member, with SPF, DKIM and DMARC set up so mail is not spoofed.
  • The website address may appear on stationery and email (para 3.3.5); keep signatures to name, designation, contact details and the address.
  • Renew the domain for several years and register it in the firm's name, not a developer's account.

What technical SEO is safe for a CA firm website in Gurgaon?

Technical SEO that makes accurate facts easy for search engines to read is safe; anything that manufactures praise is not. A person who searches for a chartered accountant is already seeking one, so being indexed correctly is the closest thing to a pull request in search.

  • Structured data: schema.org has an AccountingService type, a kind of LocalBusiness. Mark up name, address, telephone, opening hours and the website URL. Do not add review or aggregate rating markup, because testimonials are not permitted.
  • Speed: compress images, serve modern formats, avoid heavy sliders and keep third-party scripts to a minimum.
  • Mobile first: phone, address and map within one tap on small screens.
  • Clean structure: one H1 per page, descriptive titles, an XML sitemap and a robots.txt that does not block the site.
  • Portal pages: mark the login and client areas as noindex so they never appear in search.
  • Local signals: the same name, address and phone on the site and the Google Business Profile.

What should you ask before hiring a developer?

Ask questions that test both compliance awareness and security practice. A good developer will answer these plainly.

  • Have you read the website guidelines in Chapter 3 of ICAI's Code of Ethics, 2026, and how will you handle pull mode for audit pages?
  • Which template elements will you remove, such as testimonial sliders, client logo strips and counters?
  • How are client documents stored, encrypted and backed up, and who at your end can access them?
  • Will the domain, hosting and code be registered in the firm's name?
  • How will updates and security patches be applied after launch?
  • Can the site show head office and branch addresses exactly as registered with ICAI (para 3.3.21)?

Frequently Asked Questions

Is a client document portal allowed on a CA firm website?

Yes. Para 3.3.11 of ICAI's Code of Ethics, 2026 allows firms to give clients a document management facility with a distinct login and password to access copies of their documents. Para 3.3.15 requires adequate secrecy of client matters handled through the website, so use two-step login, encryption, access logs and backups. This is not legal or professional advice.

Can a CA website use pop-ups or push notifications?

Avoid them. Information about services exclusively reserved for chartered accountants, such as audit and attestation, may be shown only on a specific pull request, and banner advertisements of any kind are not permitted on the website. Pop-ups and browser notifications push content at visitors who did not ask for it, so leave them out of the build.

What domain name should a chartered accountant use?

Para 3.3.20 of the Code says the website address should be as near as possible to the member's name or the firm's name and must not amount to soliciting work or advertising attainments. A short form of the firm name with a .in or .com ending is the safe choice. Keyword domains built around services or a town are best avoided.

Can a CA firm website show Google reviews or star ratings?

The Code does not mention Google reviews, but write-ups may not contain testimonials or endorsements, and the 2020 ICAI advisory listed client testimonials among prohibited website content. The cautious approach is to keep review widgets, star ratings and review schema off the website entirely, and to reply to any reviews on Google factually without revealing client details.

Does a CA website need to follow the DPDP Act?

If the website collects personal data through enquiry forms or a client portal, the Digital Personal Data Protection Act, 2023 and the DPDP Rules, 2025 are relevant. The Rules were notified in November 2025, with duties such as notice, consent and security safeguards phased in. Collect only needed fields, explain why, and secure stored documents. Take legal advice on your case.
