Register, Excel or software: when does a gym need gym management software?

A register works for a handful of members, Excel works until two people need to edit it at once, and software pays off once dues, renewals and check-ins take real desk time every day. The comparison below shows where each one breaks.

Which check-in options and offline features should you insist on?

Pick software that offers more than one check-in method and keeps working when the internet drops. A front desk that freezes during the 6 AM rush loses both time and goodwill.

  • Several check-in methods: QR code, RFID card, fingerprint, a self-check-in kiosk, phone check-in and a desk search by name. Members who refuse biometrics still need a way in.
  • Where fingerprints are matched: ideally on the reader, with the software storing only an identifier. Our guide to biometric attendance and the DPDP Act explains why.
  • Works with your hardware: ask whether you must buy the vendor's reader or can use one you already own.
  • Offline mode: check-ins, new members and payments should be recorded on the device during an outage and sync later without duplicates.
  • Speed: time a check-in yourself during the demo.

How should payments, UPI and cash work?

The software should record every way your members actually pay, including cash, and online payments should land in your own gateway account. If members pay in cash at the desk, cash must be a normal payment method in the software, not an afterthought.

  • UPI, card, netbanking, cash, cheque and bank transfer, each with a proper receipt
  • Part payments and dues carried forward to the next month
  • A dues list that shows who owes what, today
  • Online payments settled to the gym's own payment gateway account
  • No percentage of member payments taken by the software vendor
  • Gateway charges shown clearly, so you know what each payment cost

What GST invoicing does gym software need?

Software should issue GST invoices in an unbroken numbered series, handle gyms without a GSTIN, and apply the correct rate to services and counter sales. Get this wrong and your accountant spends hours fixing it.

From 22 September 2025, gyms, health clubs, fitness centres and yoga services are taxed at 5% without input tax credit, down from 18% with credit, under Notification No. 15/2025-Central Tax (Rate) (see the GST Council press release). Business Today reported CBIC's clarification that the 5% rate is mandatory. CGST Rule 46 requires a consecutive serial number on each tax invoice, unique for a financial year.

  • PDF invoices the member can download or receive on WhatsApp
  • A separate receipt series for supplements, apparel and drinks, with GST per item

Whose WhatsApp number will reminders come from?

Reminders should go out from your gym's own WhatsApp Business number, through a provider account you control. Then members see your name, replies reach your desk, and the number stays with you if you change software.

Messages worth automating, and what to check for each:

  • Dues reminders: sent before and after the due date, and stopped as soon as the member pays.
  • Renewal reminders: triggered by the plan end date, not by someone remembering to send them.
  • Class changes: sent only to members booked into that class.
  • Win-back: a short sequence after a plan lapses, sent only to members who opted in to offers.
  • Receipts: the invoice PDF sent right after payment.

Since 1 July 2025, Meta charges per delivered template message, and the rate depends on the message category. Ask the vendor whether you pay the provider directly at the provider's rates, or whether the vendor resells messages with a margin. What about data export, lock-in, branches, akharas and language?

Your member list is your business, so you must be able to take all of it out at any time, and the software must fit how your gym is actually run. Check these before you migrate.

  • Full export: one-click export of members, payments, attendance and invoices in CSV, with no exit fee.
  • Import: can the vendor bring in your existing Excel sheet or data from your current software?
  • Multi-branch: one owner login, branch-wise reports, and staff roles per branch.
  • Akhara needs: guru-shishya records, dangal entries by weight category, traditional training such as kushti and mugdar on the schedule, guru-dakshina as a payment type, and boarding for live-in shishyas.

Use a free trial with your real members and real desk staff, and get answers to the questions below in writing. A demo shows the best case; a week at your own front desk shows the truth.

  1. Do we need a credit card to start the trial, and what happens to our data if we do not continue?
  2. Is every feature included on every plan, or are reminders, the member app or multi-branch sold as extras?
  3. Do you take any percentage of member payments?
  4. Does WhatsApp go out from our own number, and who do we pay for messages?
  5. What happens at the desk when the internet is down?
  6. Can we use our existing fingerprint reader, and where are templates stored?
  7. Are GST invoices numbered in one unbroken series, and what do non-GST gyms get?
  8. Can we export all our data at any time, and is there an exit fee?
  9. Does it support akhara mode, Hindi and multiple branches if we need them later?
  10. Who do we call when something breaks, and in which language?
