What should a gym send on WhatsApp?
Send messages a member would be annoyed to miss: dues, renewals, class changes and receipts, plus a small number of well-timed win-back messages. Everything else belongs on your Instagram page, not in a member's chat list.

A personal number is the wrong tool, the WhatsApp Business app suits a desk sending messages by hand, and the WhatsApp Business Platform (API) through a provider such as Gupshup or Interakt suits automated reminders from your gym software.

Most gyms start on the Business app and move to the API once the desk spends too long typing the same reminder. Gupshup and Interakt are providers that connect a business number to the platform. You sign up with them, and they bill you for the messages you send.
Why send from your own WhatsApp Business number?
Your own number carries your gym's name, so members trust the message, reply to it, and save it. A vendor's shared number shows up as a stranger, and replies go somewhere your desk never sees.

- Replies reach you: "Can I pay on Saturday?" lands with your front desk, not a vendor's inbox.
- You keep the history: if you ever change software, the number and its conversations stay with the gym.

How do you get proper opt-in from members?
Ask at joining, in writing, which kinds of WhatsApp messages the member wants, and record the answer. The WhatsApp Business Messaging Policy says you may contact people only if they have given you their number and you have "received opt-in permission from the recipient confirming that they wish to receive subsequent messages or calls from you".
The policy recommends opt-in that covers the different categories of messages you will send. For a gym, that means separate tick-boxes:
- Dues, renewal and payment messages
- Class bookings and schedule changes
- Offers, events and win-back messages

Utility or marketing template: how does Meta's pricing work?
Since 1 July 2025, Meta charges per delivered template message, not per conversation, and the charge depends on the template's category and the recipient's country. Rates change, so check Meta's WhatsApp pricing page and your provider's rate card rather than any figure quoted in a blog.

- Utility templates are charged outside a customer service window and are free inside one.
- Customer service window: when a member messages you, a 24-hour window opens in which non-template replies are free.
- Free entry point: if someone reaches you through a Click-to-WhatsApp ad or Page button and you reply within 24 hours, a 72-hour free window opens.
Meta's template category guidelines say utility templates must be non-promotional and specific to, or requested by, the user. Payment reminders and account updates are listed as utility examples. Templates with mixed content count as marketing, and Meta reviews approved templates and can change their category. The business accepts the charges of whatever category applies at the time of sending.
Keep a dues reminder about dues. Add "and get a free protein shake on renewal" and it becomes a marketing message.
How do you avoid spam reports and blocks?
Send fewer, more relevant messages to people who asked for them. The policy warns that users can block or report businesses, and that WhatsApp's systems may limit how many messages a business can send based on that feedback.
- Message only members who opted in for that kind of message.
- Remove former members from dues and class lists when they leave.
- Use the member's name and real details: due date, plan, batch time.
- Keep each message to one clear action, such as pay, reply or book.
- Avoid sending at odd hours, even though your gym opens early.
- Cap win-back messages at a small sequence, then stop.
- Tell members how to opt out, and act on it the same day.
A practical dues sequence: a reminder a few days before the due date, one on the day, one a few days after, then a phone call from the desk. A win-back sequence might be two or three messages spread over the weeks after a plan lapses. These are starting points; adjust them to your members. Why send reminders in the member's language?
A reminder the member reads easily gets paid faster and reported less. In a Gurgaon studio near Golf Course Road, English may be right. In a gym in Jhajjar or Rohtak, or an akhara anywhere in Haryana, Hindi usually works better.
- Store each member's preferred language at joining.
- Create each template in every language you use. Meta treats each language version as its own template, reviews it, and does not translate it for you.
- Write naturally, the way your desk staff speak, rather than translating word for word.
- Keep names, dates and amounts as variables so the same template works for everyone.
