Key takeaways

  • Every school bus application needs the student’s name, class and section, admission number, bus or route number, the stop, the effective date, the reason and the parent’s signature and phone number.
  • Address it to the Principal and mark a copy to the Transport In-charge, who actually changes the route or stop.
  • Give at least one to two weeks’ notice; many schools ask for a full month’s notice before you stop the bus.
  • Check your school’s own transport policy and form first, and keep a signed or stamped copy of every letter.

What should a school bus application contain?

A school bus application should be addressed to the Principal, with a copy to the Transport In-charge. It should give the student’s name, class and section, admission number, bus or route number, current stop (and new stop if it changes), the date the change starts, a one-line reason, and the parent’s name, signature and mobile number.

Keep it to one page. The transport office has to find your child in its list, so the admission number and route number matter more than a long explanation. Pick the letter you need:

School bus route change or pickup point change application

Use this when you move house or a different stop suits you better. Name both the current stop and the new one, and ask the school to tell you the new pickup time.

Tips before you send any school bus application

Check the school’s own rules first, give enough notice and keep proof that you sent the letter.

  • Ask for the school’s form: many schools have their own transport form or a request option in the parent app. Use it if there is one.
  • Give notice: one to two weeks for a stop change or a new joining. Many schools ask for a month’s notice before you discontinue the bus, and may charge the bus fee for that month.
  • Keep a copy: get the office copy signed or stamped, or send it by email and keep the sent mail.
  • Check the date of effect: changes often start from the next month or the next term.
  • Tell your child: explain the new stop or the days off, so they do not wait at the old place.

Safety rules for the bus itself are set by courts, boards and states, not by these letters. See our guide to school bus rules and regulations in India.

How can schools handle these requests faster?

Keep every stop and route in one system, so a request is a quick update and not a chain of phone calls. In a school bus tracking app, the transport manager can update a child’s stop or route, the driver sees the change on the next trip, and parents get arrival alerts for the new stop.

  • Accept requests through one channel: a printed form, email or the parent app.
  • Reply with the confirmed stop, route number and start date.
  • Link bus fees to the transport list, so a stopped facility also stops the fee; a school ERP can keep fees and transport in one record.
  • Review complaints weekly with trip history and boarding records, not memory.

Our school bus parent app guide explains what parents see once the bus is tracked.

Frequently Asked Questions

To whom should a school bus application be addressed?

Address it to the Principal of the school, because the Principal approves changes to transport and fees. Add “Copy to: Transport In-charge” at the bottom, since the transport office actually changes the route, stop or bus list. If your school has a separate transport office or a transport form, hand the letter or form there and keep a stamped copy.

Is there an official format for a school bus application?

No single format is required by any law. Each school sets its own process, and many have a printed transport form or a request option in their parent app. If your school has no form, a simple letter with the student’s details, bus or route number, the change you need, the start date and your signature works.

How do I write a school bus route change application in English?

Address the Principal, write a clear subject such as “Request to change the bus stop of [Student Name]”, then give the class and section, admission number, current bus or route number and current stop. State the new stop or address, the date from which you want the change, and end with your name, signature and mobile number.

How much notice should I give to stop the school bus?

Give at least one to two weeks’ notice for any change. For stopping the bus completely, many schools ask for a month’s notice and may charge that month’s bus fee if you inform them late. Read the transport section of your school’s fee rules or ask the transport office before you send the letter.

Can I get the school bus fee back for months my child did not use the bus?

You can ask, but the decision is the school’s and depends on its fee policy. Your request is stronger if you informed the school in writing before or during the absence. Mention the months, the reason and the date of your earlier letter, and ask for the amount to be adjusted against the next fee instalment.

Should I send a school bus application on paper or by email?

Either works if the school accepts it. A paper letter handed to the office should be signed or stamped on your copy. An email to the school’s official address gives you a dated record automatically. If the school uses a parent app with a transport request option, use that, because it goes straight to the transport team.

What if the new stop I want is not on any bus route?

Ask the transport office for the nearest existing stop on a route that passes close to your new address. Schools often cannot add a new stop for one child, because it changes the timing for everyone on that route. Mention a second-choice stop in your letter so the school can approve one quickly.
